Best AI Invoice & Accounting Tools for Freelancers in the USA
A US freelancer needs one set of tools to invoice, get paid, track expenses, and estimate taxes — solo. Three of the eight below start at $0; cheapest paid entries are Bonsai Essentials ($25/mo) and Xero Early ($27). Honest headline first: only three are labelled "AI" by their vendors. The other five use automation, OCR, and auto-categorisation — called exactly that here.
AI invoice and accounting tools for freelancers are single-operator tools that create and chase invoices, capture receipts, categorise expenses, and estimate taxes. The labelling rule is strict: "AI" is reserved for Xero JAX, HoneyBook AI, and Zoho Zia. Wave, FreshBooks, QuickBooks, Bonsai, and Square use the vendor's automation wording.
This guide is for freelancers who invoice clients themselves. For accounting firms or multi-client bookkeeping, see 'AI tools for accountants'. Six tools here do not appear there; QuickBooks and Xero appear here only in solo plans, for a different job.
1. Wave — Starter free, Pro for automation
Wave Starter $0, confirmed in September–October 2026 pricing-page reads: unlimited estimates, invoices, bills, bookkeeping records, mobile invoicing. Wave Pro $19/month, or $190/year billed annually (annual figure confirmed at drafting). Pro is priced per business and adds auto-import, auto-merge/categorisation, unlimited OCR receipt capture, automated late-payment reminders.
Wave does not label this "AI" — call it automation and OCR. Card processing is separate: 2.9% plus 60 cents per transaction on Starter (3.4% plus 60 cents for Amex), with Pro waiving the fixed fee on the first ten card transactions a month. No 1099 claim was found. Budget on $19, never on the $9.50 introductory rate.
2. FreshBooks Lite — five clients, and that is the point
FreshBooks Lite costs $23 a month, or $248.40 a year billed annually, confirmed in October 2026 reads of FreshBooks' price-change page. Plus is $43, Premium $70. Lite allows invoices to five clients (Plus 50, Premium unlimited), with estimates, recurring invoices, automated reminders, and scheduled late fees; expenses cover bank imports, receipt scanning, automated categorisation, and tax-time reports. The vendor says "automated", not "AI". No free tier; 30-day trial.
The five-client cap is the decision: six active billable clients means Plus. Lite has no accountant access, double-entry reports, or bank reconciliation. Introductory offers vary; budget on $23. No 1099 claim was found.

3. QuickBooks Lite — the solo plan, under its current name
QuickBooks Lite costs $20 a month, with a $10 promotional price for three months. Naming has been in flux: Intuit's pages now show Free, Lite, and Simple Start side by side, Lite in the former Solopreneur slot at $20 — use whatever name the live page shows. Simple Start ($38) is a different plan for a different buyer.
Lite includes branded invoices and estimates, many payment methods (card, PayPal, Venmo, Apple Pay, ACH), receipt capture, mileage tracking, automatic expense sorting, and Schedule C categorisation, with books-to-tax through QuickBooks Live Tax and TurboTax. Do not claim Intuit Intelligence is included — unverified for this plan. An annual price conflicted ($215/$240) and is not stated.
4. Xero Early — the one with vendor-stated AI, and a hard cap
Xero Early costs $27 a month, Growing $59, Established $97, after a US rise on 1 October 2026 from $25, $55, $90. Monthly, auto-renewing, no annual-billing price published. New customers may see 80% off for three months ($5.40 for Early); an older 90%-off offer expired 2 November 2026. Budget on $27.
Early allows quotes plus 20 invoices a month and five bills, with online payment acceptance, bank reconciliation, Smart Document Capture, sales-tax calculation, and W-9/1099 management (vendor-stated, US-specific). JAX is Xero's AI, automating data entry, reconciliations, and getting paid. Auto-reconcile is on Growing/Established, and on Early only as a paid AI Automate add-on. JAX's page carries a vision disclaimer — do not present future features as live.
5. HoneyBook Starter — yearly billing only, as shown
HoneyBook Starter costs $29 a month billed yearly only; no monthly-billing price was shown. Essentials is $49, Premium $109, both billed yearly. Starter includes unlimited clients and projects, invoices and payments, proposals and contracts, payment reminders, autopay, late fees, and expense tracking.
HoneyBook AI is vendor-stated on all plans: AI chat, an AI automations builder, AI email drafts, a meeting notetaker, and meeting prep and recaps. Tax categorisation and a Tax hub appear on the pricing page, but no 1099 support was found. Free trial, no free tier. Processing from 2.9% plus 25 cents (cards), 1.5% (ACH).
6. Bonsai Essentials — invoicing starts here, not at Basic
Bonsai Essentials costs $25 a month, or $19 billed annually, per user. Basic at $15 ($9 annually) excludes invoices and payments — do not quote $15 as the invoicing price. Premium is $39 ($29 annually), Elite $59 ($49). Seven-day trial; no free tier.
Essentials includes unlimited invoices, online payments, retainer and subscription invoices, scheduled sending, time/expense attachments, expense and income tracking, and bank sync. Bonsai Tax auto-imports expenses, identifies deductions, estimates quarterly taxes, and offers 1099 expense tracking (vendor-stated, US-specific). No vendor page calls this "AI" — it is automation.

7. Zoho Invoice — free, with a yearly cap
Zoho Invoice costs $0, forever-free per the vendor, not a trial. Caps: two users, three projects, 500 invoices a year, "Powered by Zoho Invoice" branding, data deleted 20 days after 180 days of inactivity. No paid tier; the paid path is the separate Zoho Billing.
It includes quotes, invoices, recurring invoices, automated reminders, expense and time tracking, a client portal, reports, and card, e-wallet, and ACH payments (gateway fees apply). Zia, Zoho's native AI, powers AI Insights: spotting payment delays, setting up follow-ups, generating ready-to-send emails. Do not import Zoho Billing Enterprise AI features here; they belong to a different product. No 1099 claim was found.
8. Square Invoices — free to start, Plus price must be checked
Square Invoices Free costs $0: unlimited invoices, estimates, and contracts, recurring invoices, automatic reminders, real-time status tracking, deposits and payment plans. Plus-only: milestone schedules, batch invoices, multi-package estimates, auto-converting an estimate into an invoice. No vendor-stated AI feature — automation only.
The Plus price is deliberately not stated as a single figure: the $30 figure traces to a non-US page, while US pricing was overhauled in October 2025 into Free, Plus, and Premium tiers with fees varying by location. Processing fees are separate and region-dependent — check the US Invoices page before budgeting.
Caps first: the comparison that actually decides it
Three tools start at $0 — Wave, Zoho, Square Free — cheapest paid Bonsai Essentials ($25), Xero Early ($27). Caps: Zoho 500 invoices/year, Xero Early 20/month, FreshBooks Lite 5 clients. Caps before price below.
| Tool | Entry price | Cap that matters | AI or automation? | 1099 / tax? |

| Bonsai Essentials | $25 ($19 annual), per seat | Per-seat billing | Automation | Quarterly estimates + 1099 tracking |
| Zoho Invoice | $0 | 500 invoices a year | AI (Zia) | None found |

How to choose
Choose by cap before price: count invoices, clients, 1099 needs. Check the billing unit — per seat, per business, per volume — and re-check the vendor page: promos expire (Xero's did 2 November), plan names move (QuickBooks' did).

Key Takeaways
- Three tools start at $0 (Wave, Zoho, Square Free); cheapest paid entries are Bonsai Essentials ($25) and Xero Early ($27).
- Caps decide: Zoho 500 invoices/year, Xero Early 20/month, FreshBooks Lite 5 clients.
- "AI" is vendor-stated only for Xero JAX, HoneyBook AI, and Zoho Zia; the rest are automation or OCR, labelled as such.
- Square Plus price/processing rate: not stated as single figures — check the US page live.
- Budget on list prices, never intro/promo prices; re-check before buying.
Conclusion
The right tool is the one whose cap you will not hit, whose billing unit matches how you work, and whose label — AI or automation — you understand before paying. Start free where the cap allows, pay only for the limit you need to remove, and keep the invoice simple: what was done, what it costs, how to pay.
